Università degli Studi di Roma “Tor Vergata” ANNEX III (Decreto Rettorale 99/2015 DEL 15/01/2015) MACRO AREA OF ENGINEERING SELECTION AND EVALUATION OF APPLICATIONS PLEASE NOTE: if all passed exams are not included, applications shall be considered incomplete. Please follow the described procedure: 1. list all passed exams (download recorded exams from the website delphi.uniroma2.it and include them in the application); 2. if passed exams do not result on the Delphi website because they are not recorded yet, please attach a copy of the university student's record-book; 3. if passed exams of the Bachelor’s Degree Course are no longer in the Delphi website, please ask the students’ secretariat a list of passed exams and include them in the application. Evaluation criteria for pass-list creation Exams passed during the Bachelor’s and the Master’s Degree Courses shall be evaluated together, without any distinction. Bachelor’s Degree final mark shall not be evaluated. Any course whose mark is not expressed in thirtieths shall be excluded from evaluation. Evaluated elements are listed below: - Marks weighted with credits of all passed exams recorded at Students’ Secretariat within December 31st, 2014. - The ratio between the number of passed exams weighted with credits and the number of years since the year of enrolment in the Bachelor’s Degree Course. - The number of full marks (30 e lode) obtained (one or two full marks entitle to one additional point to the weighted average, three or more full marks entitle to two additional points). - Also as regards students who moved from other Universities, passed exams shall be considered if complete documents certifying exams, marks and credits are submitted. - For students of the first year of a bachelor’s Degree Course, if the call for application is opened again, exams passed within the end of the first semester (winter session) shall be evaluated. Pass-lists publication, grants assignation and signature of contracts Final pass-list shall be divided by Degree Course and published on the websites http://torvergata.llpmanager.it and http://ing.uniroma2.it. Students shall personally check passlist publication. No written or phone communications shall be made to students. On line published pass-lists have legal effectiveness and constitute official notice for all selected candidates. • After at least one week after pass-lists publication, a meeting for all the Courses of the Macro 1 Università degli Studi di Roma “Tor Vergata” Area of Engineering shall be held. In the course of the meeting, Erasmus+ grants shall be assigned by a Commission composed of: the Engineering Coordinator Prof Cinthia Campi; the Referral Person for the Engineering Erasmus+ Office Mrs Rita Ricci and, according to their availability, by Coordinators of the relevant Degree Courses, Referral Persons of the University Erasmus Office, of the International Relations Office and their collaborators. Grants shall be assigned separately by Degree Course (possible combination of similar Degree Courses shall be communicated), and choice of destination seats shall be made by candidates by respecting the pass-list order of each Degree Course (provided that requirements of each seat are met, both as regards language skill and level of study: PhD students, students who are preparing their graduation thesis, etc.). Before the meeting, students are kindly asked to visit the websites of each partner University they are interested in to be informed about the study offer (i.e. courses available in the relevant semester). Students who cannot participate in the meeting can delegate a third person by providing him/her with a proxy signed by the candidate and a copy of both candidate’s and delegate’s identity documents. If this procedure is not respected, students shall be no longer entitled to submit any application for Erasmus+ grants in the ongoing year. Alternatively, candidates can declare their will to participate in a possible subsequent meeting if the call for application is opened again or they can submit a declaration of renunciation. In the framework of the same meeting, the date for signing contracts at the University Erasmus+ Offices shall be communicated to selected students. As regards the following grants: École Nationale des Ponts et Chaussées, Ensta, Eindhoven (Engineering Management), Lisbon (Medical Engineering), Haute École Specialiseé de Suisse Occidentale e Haute École d’Ingegnerie et Gestion du Canton de Vaud (Energy Engineering and Medical Engineering), final assignation is of exclusive competence the Erasmus+ Coordinator in charge of the agreement. Grants may not be assigned if the Coordinator decides that requirements for the specific destination are not met. To this regard, students interested in the above-mentioned seats are suggested to preliminarily refer to the Erasmus+ Coordinator in charge for the agreement. Appeals: Appeals shall be signed and submitted on unstamped paper. Reasons for the appeal shall be clearly expressed. Appeals shall be submitted to the Engineering Erasmus+ Office – Mrs Rita Ricci – within five days since pass-list on line publication. Students selected for the Erasmus+ grant who, after signing the contract will not leave for the mobility period and will not timely submit their formal renunciation for serious reasons – also by attaching, if possible, confirmatory documents – shall be excluded from all future Erasmus+ grants. Their names shall be communicated to the University International Relations Office, to their Department and to Rectorship Offices for possible disciplinary measures. Students selected for the grant shall fill in and submit the Learning Agreement form to the Engineering Erasmus+ Office. The Office shall then send it to the host University (partner in the Erasmus+ agreement). Submission of the Learning Agreement shall be made in time in order to respect deadlines set by the host University. Selected students for the Erasmus+ grant are suggested to submit – before department – the study programmes they want to be recognized to teachers of the courses considered equivalent. To this purpose, a specific form is available at the Engineering Erasmus+ Office (Mrs Rita Ricci). The following procedure is suggested: 10 Università degli Studi di Roma “Tor Vergata” - - Visit the website of the host University for which the grant was assigned. Download the programmes of courses to be attended and submit them for approval or confirmation by the teacher by filling in the specific form. Please note: in general, courses recognized as equivalent cannot be considered as not equivalent in a subsequent academic year due to changes in the programme or other reasons; Collect recognition approvals in a folder to be delivered to the Degree Course Coordinator at the moment of formal recognition. For some Degree Courses, documents on subjects already recognized as equivalent is available. Those documents are at the Erasmus+ Office (Mrs Rita Ricci) and can constitute a referral point for obtaining equivalence recognition, that shall anyway be formally confirmed by the teacher of the relevant subject. Further equivalence recognition may be requested during the Erasmus+ period at the partner University. In this case written request (by e-mail) shall be made to the relevant teacher, and the link of the programme for which recognition is requested shall be indicated. Validation of passed exams and training experiences In order to obtain validation of exams and training experiences carried on abroad in the framework of the Erasmus+ programme, please note that: For submitting a request for recognition of the study period abroad in the framework of the Erasmus+ Programme an authorization by the University Erasmus+ Office is required. The authorization can be issued after student’s regularization of his/her administrative position. Please note that certificates and declarations for passed exams usually require a long time to be transmitted. Therefore, if the Erasmus+ Coordinator of the host University agrees, students are suggested to prevent delays by asking to the host University a further certificate of passed exams or, alternatively, a copy of the mentioned certificate stamped by the host University. If delays in certificates transmission has consequences on the date of graduation, on the assignation of grants or on the recognition of rights, it is important to timely communicate specific needs to Mrs Rita Ricci. She will report to the Engineering Erasmus+ Coordinator who will express specific needs to the relevant offices of Universities. Equivalences of exams passed abroad are formally submitted for approval by the Degree Course. Subsequently, they are transmitted to the Students’ Secretariat of the Macro Area of Engineering that will record exams. Equivalences are left to the discretion of relevant teachers of the University of Rome “Tor Vergata”.
